The short version
- We only collect what we need to answer you or do the work you've asked for.
- We never sell, rent or trade your information.
- If we contact your business, we use details published for business purposes, say who we are, and give you an easy way to opt out.
- Card details go straight to Stripe. We never see or store them.
Smart Sites Connect respects your privacy. This Privacy Policy explains how we handle personal information collected through our website, including the Free Website Audit form, checkout pages and our communications about website and enquiry-follow-up services.
1Who we are and how to contact us
Smart Sites Connect is an Australian business that helps local trades businesses improve how their websites capture, acknowledge and organise customer enquiries.
For privacy questions, requests to access or correct personal information, to opt out, or to make a complaint, email [email protected] or call 0485 085 499.
2Information we collect
What we collect depends on how you deal with us. When you request a Free Website Audit, contact us, use a checkout page, or when we research local businesses, we may collect:
| Information | Why we collect it |
|---|---|
| Full name and business name | To identify your request, enquiry or service arrangement and respond properly. |
| Website or Facebook page address | To review the public online presence you ask us to check. |
| Email address and phone number, if provided | To respond to your request, send information you asked for, or contact you the way you ask. |
| Your message or improvement area | To understand what you want checked and respond usefully. |
| Business details from public sources: business name, trade or category, address, phone, business email and website | To research local businesses and contact them about services that may be relevant. See section 5. |
| Form source, submission time, page-view and form-interaction data (HighLevel External Tracking) | To keep an accurate record of your request, run the enquiry process and improve the website. |
| Payment and transaction details handled by Stripe at checkout | To process a payment you choose to make and prevent fraud. We do not receive or store card details. |
| Basic technical information, cookies and similar technologies | To run and secure the website and checkout and diagnose problems. |
Please don't put sensitive personal information in the audit form. We only ask for what we reasonably need.
3How we collect information, and cookies
We collect information directly from you when you complete a form, use a checkout page, email or call us, or otherwise contact us. We also receive basic technical and interaction information from the systems that run our pages, and we collect business contact details that are publicly available (see section 5).
We use HighLevel/LeadConnector for website and funnel functions, form handling, enquiry records and related email workflows. HighLevel External Tracking is set up for page-view, form-interaction and form-submission events. We do not currently use advertising pixels or session-recording tools on this website.
Where a checkout page uses Stripe payment fields, Stripe may collect personal data using cookies and similar technologies, including device and transaction information, to run payment services, prevent fraud and assess service performance. On our checkout pages we have observed the cookies msgsndr_id, __stripe_mid and __stripe_sid, Stripe-hosted payment frames, and HighLevel/LeadConnector and Cloudflare security resources. These can change over time.
4Why we use information
We use personal information to respond to an audit request or other enquiry; assess the public website or page you gave us; prepare and send the response you asked for; communicate about an agreed service; process a payment you choose to make; contact businesses about our services as described in section 5; and operate, secure, troubleshoot and improve our website and processes.
5Contacting businesses and marketing
We may contact local businesses we find through public sources such as business directories, online listings and websites. When we do:
- we use contact details that a business has published for business purposes, and only contact about services relevant to that business;
- we tell you who we are, and you can reply to ask where we got your details;
- every email includes a working unsubscribe link, and every text includes a way to opt out;
- we act on opt-outs promptly, and within five business days at the latest;
- we keep a record of opt-outs so that we don't contact you again;
- before any marketing phone call, we check the Do Not Call Register.
The Free Website Audit form has an optional "stay updated" tick-box. If you tick it, we may send you updates and offers, and you can withdraw at any time. An audit request on its own does not sign you up to ongoing marketing.
6Information we handle for our clients
If you become a client, we may set up and help run tools such as website forms, missed-call text-back and an enquiry inbox. Details your own customers give through those tools belong to your business. We use them only to provide the service, and you stay responsible for how your business uses them.
7When we disclose information
We do not sell, rent or trade personal information. We disclose it only where reasonably necessary to provide a service you asked for, run our systems, or meet a legal or safety obligation.
| Recipient | Purpose |
|---|---|
| HighLevel / LeadConnector | To run our pages, receive and store form submissions, keep enquiry records and provide related email and messaging workflows. |
| HighLevel-managed email services | To send audit responses and other agreed communications from a Smart Sites Connect sending domain. |
| Stripe | To process payments through hosted checkout fields and help prevent fraud. We do not receive or store card details. |
| Cloudflare and similar security services | To protect our pages from automated abuse and security threats. |
| Professional advisers, regulators or authorities | Where reasonably necessary for advice, compliance, legal process, or to protect rights, safety or property. |
8Overseas processing
Some of our service providers process information outside Australia. HighLevel/LeadConnector uses service providers for data storage, communications and support, including in the United States and India. Stripe's Australian services may involve processing in Australia and overseas, including Ireland, the United States and other countries where Stripe and its providers operate.
So information handled through HighLevel/LeadConnector, HighLevel-managed email services or Stripe may be processed in Australia and overseas. We take reasonable steps to use providers and arrangements suited to the service and to protect information in line with this Policy.
9Security and how long we keep information
We use reasonable administrative and technical steps to protect information from misuse, interference, loss, unauthorised access, modification or disclosure. No internet transmission or storage system is completely secure.
If a website-check enquiry doesn't become a client relationship, we keep the enquiry record for 12 months after our last contact. We keep business contact details gathered for outreach until you opt out, ask us to delete them, or they're no longer needed, and we review them at least once a year. We may keep information longer where reasonably necessary to manage an ongoing service, keep a consent or opt-out record, resolve a complaint, handle a legal matter, or meet record-keeping duties. When information is no longer needed we take reasonable steps to delete or de-identify it.
10Access, correction and complaints
You can ask us for access to, or correction of, the personal information we hold about you, or ask us to delete it or stop contacting you. Email [email protected] with enough detail for us to identify your request safely.
If you think we haven't handled your personal information properly, email us with the details. We'll review your complaint and reply within a reasonable time. If you're not happy with our response, you may be able to contact the Office of the Australian Information Commissioner (oaic.gov.au).
